The problem

Right now, every departure lives in a WhatsApp thread.

You ask for the documents in the chat. The passenger sends them one at a time — passport now, photo tomorrow, the bank statement when they remember. Multiply that by forty people on one departure and the thread becomes the filing system.

The thread is the filing system

Documents buried in chat, arriving one message at a time, with no checklist behind them.

No single view of who is outstanding

The visa cutoff closes in and you still cannot answer the only question that matters.

Every follow-up sent by hand

The same reminder, typed again, one passenger at a time, for the third time.

Passports living in a phone gallery

Passenger passports and national IDs sitting in a personal camera roll indefinitely.

So you scroll back to check who sent what. You re-download and re-sort by hand. You send the same reminder for the third time. And a week before the visa cutoff, you still cannot answer the only question that matters: who is still missing something?

A missed passport scan is not a late filing you can apologise for. It is a passenger who does not fly.

How a departure actually collects

You collect in three waves, not one checklist.

Generic document tools assume one request with one deadline. That is not how a departure works, so ChaseDocs lets you run each wave as its own request against the same booking.

01

At booking

Passport bio page, national ID, name exactly as printed, emergency contact, deposit proof.

02

Visa processing

Photo to spec, bank statements, employment or sponsor letters, itinerary, insurance.

The heaviest wave, and the one that comes back wrong most often.

03

Before departure

Vaccination certificates, signed itinerary, anything the consulate asked for late.

The check nobody else does

It catches the passport that expires four months too early.

Add the departure date to the booking. From then on, every passport uploaded against it is read and measured against the six-month rule — automatically, on upload, before anyone reviews it.

A passport that expires inside the window is flagged with the reason attached, so you can tell the passenger to renew while there is still time. You choose which date the rule measures from: Malaysian umrah operators count six months from the flight date, other destinations count from the return.

AI check

readable right document still valid

Expires less than 6 months after the start date (2026-09-14) — valid through 2027-03-14 is required.

Group requests

One booking. Forty travellers. One screen.

Add the whole party at once and each person gets their own record, their own checklist and their own link. Send every link in a single action, then track the departure as one row that tells you how many people are still outstanding — without opening forty conversations to find out.

Every traveller's uploads stay attached to that traveller, so nothing gets filed under the wrong name at two in the morning. Group collection is on every plan, including Solo, because it is the job — not an upgrade.

Your passengers' passports never touch our servers.

Most document tools are the vault. That is their business model, so they will never tell you to keep the files yourself. We will.

Uploads land in your cloud

Connect Google Drive and documents route straight there. The file of record is always yours.

We keep a pointer, not the file

ChaseDocs stores the checklist, the validation result and a reference. Never the document itself.

The AI copy is transient

One encrypted copy is used for the check, then deleted the moment it finishes.

Built for PDPA

Per-traveller access tokens, an audit log, and a timestamped record that you confirmed permission to contact each passenger.

How it works

Live before your next departure.

Three steps. No accounts for your passengers, no documents piling up in a chat thread.

  1. 01

    Build the checklist once

Start from the travel document or visa application template and add whatever your destination needs. Reuse it for every departure.

  2. 02

    Send one link per traveller

Add the whole party at once. Everyone gets their own link over WhatsApp; nobody needs an account, an app or a password.

  3. 03

Let the reminders do the chasing

Follow-ups go out on schedule. You watch one screen showing who is still outstanding, instead of scrolling a thread.

Questions from agencies.

How is this different from just asking on WhatsApp?

You still use WhatsApp — the link and the reminders arrive there, because that is where your passengers already are. What changes is what happens next. Instead of documents arriving one message at a time across dozens of threads, each traveller gets their own checklist, uploads against it, and you see one screen showing exactly who is still outstanding. The follow-ups send themselves.

Does ChaseDocs check passport validity?

Yes. Add your departure date to the booking and every passport uploaded against it is checked for the six-month rule. A passport that expires inside the window is flagged with the reason, not silently accepted. You set which date the rule measures from, because Malaysian umrah operators measure six months from the flight date while other destinations measure from the return.

Can I collect from a whole tour group at once?

Yes, and it is on every plan. Add the party, and each traveller gets their own record, their own checklist and their own link. You send all of them in one action and track the group as a single row. A forty-passenger departure is one screen, not forty conversations.

Where do the passports end up?

In your own cloud storage. Connect Google Drive and uploads route straight there — ChaseDocs keeps the checklist, the validation result and a pointer to the file, never the document itself. A single encrypted copy is used for the AI check and deleted the moment it finishes. If you would rather not connect storage on day one, a short-retention encrypted bucket is the zero-config fallback.

Is this compliant with PDPA?

Passenger passports and national IDs are regulated personal data under PDPA in Singapore and Malaysia, and under Indonesia’s PDP law. ChaseDocs is built for that: files stay in your own cloud, every request uses a per-traveller access token, actions are recorded in an audit log, and you confirm you have permission to contact each passenger before the first message goes out. That confirmation is recorded with a timestamp. Compliance is still yours to own — this gives you the record to show for it.

What does it cost?

Plans start at $12/month, billed in USD by card, with a 14-day free trial and no card required. Pricing is per agency, based on how many people you are collecting from at once — not per departure and not per document.
