ChaseDocs is operated by PT Web Industri Teknologi, a limited liability company incorporated in Indonesia, trading as InPresenceLab. These Terms are a binding agreement between you and that company (“ChaseDocs”, “we”, “us”). They govern your use of ChaseDocs, our client document-collection service. By creating an account or using the service, you agree to these Terms. If you are agreeing on behalf of a firm, you confirm you are authorised to bind that firm.
1. The service
ChaseDocs lets professional firms request documents and information from their clients. You build a request, we deliver a secure no-login link over a messaging channel, your client uploads files and answers questions, automated reminders follow up, and an AI check reviews each upload before your staff approve it. Where you connect your own cloud storage, uploads are routed into it.
2. Accounts
- ChaseDocs is intended for business use, not for consumers.
- You must provide accurate account information and keep it current.
- You are responsible for your account credentials and for all activity under your account.
- Tell us promptly at support@usechasedocs.com if you suspect unauthorised access.
3. Free trial
New accounts include a 7-day free trial with no card required. At the end of the trial you must subscribe to a paid plan to continue sending requests. We may change or withdraw trial terms for future signups.
4. Plans, billing, and cancellation
- Paid plans are billed monthly in US dollars: Solo (US$29/month), Team (US$79/month), and Firm (US$149/month). Plans are priced per firm and include limits on active requests and seats; the pricing page and your billing settings show the current limits.
- Payments are processed by Polar, acting as merchant of record. Their terms apply to the payment transaction, and applicable taxes may be added.
- Subscriptions renew automatically each period until cancelled.
- You may cancel at any time from your billing settings. Cancellation takes effect at the end of the current paid period, and you keep access until then.
- New subscriptions include a 30-day money-back guarantee: if ChaseDocs isn't right for you, email support@usechasedocs.com within 30 days of your first payment and we will refund that payment in full and cancel the subscription.
- Outside that guarantee, and except where required by law, payments are non-refundable and we do not provide partial-period refunds.
- We may change pricing with reasonable notice. Changes never apply to a period you have already paid for.
5. Your responsibilities
Because you are collecting other people's documents, these matter:
- Lawful basis. You are responsible for having the right to request, collect, and store the documents and information you ask your clients for, and for complying with the data-protection and professional rules that apply to you.
- Your own clients. You are responsible for telling your clients how their data is used, and for handling their requests about their data. In relation to that data you are the controller and we act as your processor.
- Accuracy. You are responsible for the content of the requests you send and the recipients you send them to.
- Review. You are responsible for reviewing every uploaded document before relying on it (see section 7).
- Your storage. If you connect your own cloud storage, you are responsible for that account, its access controls, and its backups.
6. Acceptable use
You agree not to:
- Use ChaseDocs for unlawful purposes, or to collect data you have no right to collect.
- Send unsolicited or bulk messages, or otherwise misuse the messaging channel. You must comply with the rules of the messaging platform you use (including WhatsApp Business Platform policies).
- Upload malware, or attempt to breach, overload, probe, or reverse-engineer the service.
- Attempt to access another organisation's data.
- Resell or white-label the service without our written agreement.
7. AI validation is advisory only
ChaseDocs uses AI to check whether an uploaded document appears to be the right type, cover the correct period, be readable, and be complete, and to suggest a filename. These results are advisory only. AI can be wrong: it may pass a document that is unsuitable or flag one that is fine.
The AI does not approve anything on your behalf — a human at your firm always makes the final decision. AI output is not professional, legal, financial, accounting, or tax advice, and you must not rely on it as a substitute for your own professional judgement. You remain fully responsible for the work you deliver to your clients.
8. Documents and custody
- If you connect your own cloud storage, uploads are routed there and we retain only a reference, metadata, and the validation result. Those files remain yours, in your account. We do not delete them — including if you disconnect or your subscription ends.
- If you do not connect storage, files are kept in a ChaseDocs fallback store and are automatically deleted after a short retention period (14 days by default). The fallback store is not a backup or archive. Do not rely on it for long-term retention.
- To run the AI check we make a temporary copy which is discarded immediately after processing.
- You retain all rights in your data and your clients' documents. We claim no ownership of them.
- We may access your data only as needed to operate the service, to provide support you request, or where legally required.
9. Third-party services
ChaseDocs depends on third parties including Google Drive™, Meta (WhatsApp Business Platform), Anthropic (AI), Polar (payments), Supabase, and Railway. Their availability, terms, and pricing are outside our control, and changes on their side may affect the service. We are not responsible for third-party outages or actions.
10. Intellectual property
We own the ChaseDocs software, brand, and content. You receive a limited, non-exclusive, non-transferable right to use the service while your subscription is active. You own your data. If you send us feedback, we may use it to improve the product without obligation to you.
11. Availability
We aim to keep ChaseDocs available and reliable, but we do not currently offer a formal uptime guarantee or service level agreement. We may perform maintenance, and may modify or discontinue features. For changes that materially reduce functionality you rely on, we will give reasonable notice where we can.
12. Disclaimer of warranties
To the fullest extent permitted by law, the service is provided “as is” and “as available”, without warranties of any kind, whether express or implied, including fitness for a particular purpose, merchantability, or non-infringement. We do not warrant that the service will be uninterrupted, error-free, or that AI validation results will be accurate.
13. Limitation of liability
To the fullest extent permitted by law, we are not liable for indirect, incidental, special, consequential, or punitive damages, nor for lost profits, lost revenue, lost business, or lost or corrupted data.
Our total aggregate liability arising from or relating to the service is limited to the amount you paid us in the twelve (12) months before the event giving rise to the claim.
14. Indemnity
You agree to indemnify and hold us harmless from claims, damages, and reasonable costs arising from your use of the service, your data, or your breach of these Terms — including claims by your own clients relating to how you collected or handled their documents.
15. Suspension and termination
- You may stop using ChaseDocs and cancel at any time.
- We may suspend or terminate access if you materially breach these Terms, fail to pay, or use the service in a way that risks harm to others or to the service. Where practical, we will warn you first.
- After termination you should export anything you need. Files already routed to your own cloud storage stay with you and are unaffected.
16. Changes to these Terms
We may update these Terms as the product develops. We will update the “last updated” date above, and for material changes we will notify account holders. Continuing to use the service after changes take effect means you accept them.
17. Governing law
These Terms are governed by the laws of the Republic of Indonesia, and the courts of Indonesia have jurisdiction over any dispute, without regard to conflict-of-law rules. Nothing here removes consumer or data-protection rights you have that cannot be waived under the law that applies to you.
