The pack changes with the route — an Employment Pass or S Pass into Singapore, a Dependant’s Pass for the family, an Employment Pass through Malaysia’s ESD, a KITAS into Indonesia, a Skilled Worker visa on a UK Certificate of Sponsorship, an H-1B or L-1, an EU Blue Card, a subclass 482. The job does not change: a list of documents, held by people in other countries, against a date that will not move. You build the list once; nothing here is hardcoded to one country.

The check nobody else does

It catches the passport that runs out mid-assignment.

Put the assignment start date on the case. From then on, every passport uploaded against it is read and measured against the six-month rule — automatically, on upload, before a case manager opens the file.

A passport that expires inside that window is flagged with the reason attached, so the renewal starts while there is still runway. That matters past the entry requirement: most authorities will not issue a pass that outlives the passport behind it, so a thin passport quietly shortens the pass and books you a second filing you did not quote for. What file types and sizes can people upload?

PDFs, images (JPEG, PNG, WebP, HEIC), Word documents and Excel spreadsheets, up to 25 MB per file, with no limit on how many files go against one item. One boundary worth knowing in this vertical specifically: full AI verdicts come back on PDFs and on JPEG, PNG and WebP images. Word files, Excel spreadsheets and HEIC photos are accepted and stored, but flagged for a human to read rather than checked — and an assignee photographing a degree certificate on an iPhone sends HEIC by default, so that upload gets through without a verdict.

What happens when a document is unusable?

You reject the item with a note saying what to fix — the seal is cut off, the scan is too dark, it is the wrong page. It goes back on their list the next time they open their link, the upload stays open so they can replace it, and it keeps counting as outstanding so the scheduled reminders keep chasing it without you writing another email. Accepting locks the item, so a document your case manager has already cleared cannot quietly change before filing.

Where do the documents end up?

In your own cloud storage. Connect Google Drive and uploads route straight there, into the case folder your team already works from — ChaseDocs keeps the checklist, the verdict and a pointer to the file, never the document itself. A single encrypted copy is used for the AI check and deleted the moment it finishes. This is usually the answer a corporate client’s security review is actually looking for: your subprocessor does not hold their employees’ passports. If you would rather not connect storage on day one, a short-retention encrypted bucket is the zero-config fallback.

Is this compliant with PDPA?

Passports, national IDs, family certificates, police clearances and medical results are regulated personal data almost everywhere — PDPA in Singapore and Malaysia, GDPR in Europe, and equivalent laws elsewhere. ChaseDocs is built for that: files stay in your own cloud, every request uses a per-person access token, actions are recorded in an audit log you can view on the Firm plan, and you confirm you have permission to contact each person before the first message goes out, recorded with a timestamp.
