What is ChaseDocs for an accounting firm?
ChaseDocs is a document-collection tool for accountants and bookkeepers. You build a checklist once, send each client their own no-login link over WhatsApp or email, and automated reminders chase them until it is done. AI checks every upload — including whether it covers the period you asked for — and the documents land in your own cloud storage, not ours.
Does it replace my practice management software?
No, and it does not try to. Karbon, TaxDome, Xero Practice Manager and the rest manage jobs, deadlines and your team. ChaseDocs does the one thing they leave to email: getting the documents in, complete and correct. It is the client-facing collection layer, not your job list. Be aware there is no integration with those tools today — no Xero, QuickBooks or MYOB connector, and no ID-verification or AML screening. What connects is your storage: uploads route into the Google Drive folder your practice already works from.
Can it check that a statement covers the right period?
Yes, and this is the part that is hard to do any other way. Set the start and end date of the period you are collecting for, and every readable upload is judged against it before anyone on your team opens it. Does it send the monthly request automatically?
Not on a schedule — and that is worth knowing before you buy. Once a request is sent, the follow-ups are automatic: a nudge two days later, another at five days, and a due-soon ping the day before the due date if you set one, each cancelling itself the moment nothing is outstanding. Starting the cycle is still a deliberate action, but it is one action: save your close checklist as a template, add the clients as a group, and sixty links go out together. A recurring schedule is not built yet. If that is the thing that would decide it for you, tell us — it moves up the list.
What file types and sizes can my clients upload?
PDFs, images (JPEG, PNG, WebP, HEIC), Word documents and Excel spreadsheets, up to 25 MB per file, with no limit on how many files go against one item. One boundary to know: full AI verdicts come back on PDFs and on JPEG, PNG and WebP images. Word files, Excel spreadsheets and HEIC photos are accepted and stored, but flagged for a human to read rather than checked — so a client who sends their ledger as a spreadsheet gets through, they just do not get the period check.
What happens when a client sends the wrong thing?
You reject the item with a note saying what to fix. It goes back on their list the next time they open their link, the upload stays open so they can replace it, and it keeps counting as outstanding — so the scheduled reminders keep chasing it without you writing another email. Accepting locks the item, so a document your senior has already signed off cannot quietly change underneath the file.
Can I collect from my whole client book at once?
Yes, and it is on every plan. Add the clients as a group and each one gets their own record, their own checklist and their own link, all sent in a single action. Where do the documents end up?
In your own cloud storage. Connect Google Drive and uploads route straight there — ChaseDocs keeps the checklist, the verdict and a pointer to the file, never the document itself. The AI also proposes a clean filename on the way in, so a photo called IMG_4471.jpg does not land in the client folder under that name. A single encrypted copy is used for the check and deleted the moment it finishes. If you would rather not connect storage on day one, a short-retention encrypted bucket is the zero-config fallback.
Is this compliant with PDPA?
Client financial records and director IDs are regulated personal data almost everywhere — PDPA in Singapore and Malaysia, GDPR in Europe, and equivalent laws elsewhere. ChaseDocs is built for that: files stay in your own cloud, every request uses a per-client access token, actions are recorded in an audit log you can view on the Firm plan, and you confirm you have permission to contact each client before the first message goes out. That confirmation is recorded with a timestamp. Compliance is still yours to own — this gives you the record to show for it.
