A travel agency typically collects three packs per passenger, not one: identity and contact details at booking, the visa evidence pack once the itinerary is fixed, and the pre-departure pack in the last fortnight. What is required differs by destination, nationality and visa type, so treat this as the starting list rather than a rule.

    The photo page, showing full name, number, nationality, date of birth and expiry. Names must match the ticket exactly, so collect it before you issue.

  • National ID card

    For domestic or regional travel where a passport is not used, and often needed for domestic hotel check-in.

  • Full legal name as printed on the travel document

    Airlines charge to correct a misspelled name after ticketing, and some corrections require a reissue.

  • Date of birth and nationality

    Fare class, child and infant pricing, and visa requirements all depend on these.

  • Contact number and email

    For schedule changes and for the airline manifest. A number that reaches the passenger while travelling, not an office line.

  • Emergency contact

    Name, relationship and a number that is not the passenger's own.

  • Dietary, mobility and medical needs

    Meal codes, wheelchair assistance and seating have to be requested in advance, and some carriers close the window early.

  • Visa application photograph

    A recent photograph to the destination's specification, not a cropped holiday snap.

    Varies by country. Size, background colour, head proportions and whether glasses or head coverings are permitted are set by each country and are a common rejection reason.

  • Proof of funds

    Usually recent personal bank statements covering a set number of months, sometimes stamped by the bank.

    Varies by country. The amount required, how many months must be shown and whether statements must be bank-stamped or certified differ by country and visa type.

  • Employment letter or proof of study

    Evidence of ties to home — a letter confirming role, salary and approved leave dates, or a letter from the passenger's institution.

    Varies by country. Some countries require this on letterhead with contact details for verification; others do not ask for it at all.

  • Business registration or tax documents

    For self-employed passengers, who cannot provide an employer letter.

    Varies by country. Which registration or tax document is accepted depends on the destination and the passenger's home country.

  • Confirmed accommodation or an invitation letter

    Hotel bookings for the whole stay, or a signed invitation from a host with their own status documents.

    Varies by country. Some countries require an invitation to be notarised or lodged with an authority before the application.

  • Return or onward ticket

    Proof the passenger intends to leave. Often required at the visa stage and sometimes checked again at the airline desk.

  • Travel insurance certificate

    Cover for the travel dates, showing the policy limits.

    Varies by country. Mandatory for some destinations with a minimum medical cover amount set in local currency, optional or unmentioned elsewhere.

  • Previous visas and travel history

    Pages showing prior visas and entry stamps support an application and are sometimes requested directly.

  • Consent letter for a minor travelling without both parents

    Written permission from the non-travelling parent or guardian, with a copy of their identity document.

    Varies by country. Whether this is required, whether it must be notarised, and whether a birth certificate must accompany it all differ by country — and it may be checked on exit as well as entry.

  • Marriage or birth certificate

    Where surnames differ between travelling family members, or where a relationship has to be evidenced.

    Varies by country. Some countries require a certified translation or legalisation of civil documents issued abroad.

Before departure

  • The issued visa

    A copy of the visa or approval as issued, checked against the travel dates before the passenger reaches the airport.

  • Vaccination or health certificates

    Certificates for any required vaccinations, in the format the destination accepts.

    Varies by country. Health entry requirements change frequently and differ by destination and by where the passenger has recently travelled. Check the current published rules close to departure.

  • Entry forms and arrival declarations

    Many destinations now require an online arrival card, customs form or travel authorisation submitted before boarding.

    Varies by country. Whether one exists, what it is called and how far ahead it must be filed are set by each country.

  • Final passenger list confirmation

    A last check that names, dates of birth and passport numbers on the booking still match the documents.

  • Payment confirmation and signed terms

    Final balance settled and your booking conditions accepted, before tickets are released.

Passport validity, visa evidence, health requirements and the rules for a minor travelling without both parents all differ by destination, by the passenger's nationality, and often by the visa category. The six-month passport rule is the most common but it is not universal — some destinations ask for three months, some for validity covering the stay, some for more.

Do passengers need six months of passport validity?

Often, but not always, and it is a mistake to treat six months as a universal rule. Many destinations require a passport to remain valid for six months beyond the date of entry; others require three months, some require validity through the intended stay, and a few require more. The requirement also depends on the passenger's nationality and sometimes on the visa category. Check the current published rule for the specific destination before you ticket, because a passenger turned away at check-in is your problem, not the airline's.

Should I collect everything at booking?

Can a whole tour group share one checklist?

No — give each passenger their own. Every traveller holds their own passport, their own visa evidence and their own health certificates, and a shared list means each of them can see the others' documents. That is a data-protection problem before it is a filing problem. Passenger passports and national IDs are regulated personal data almost everywhere, PDPA in Singapore and Malaysia, GDPR in Europe and equivalents elsewhere.

What is the most common reason a visa file is rejected on paperwork?

In practice it is rarely one dramatic thing. It is a photograph that does not meet the specification, bank statements that do not cover the required number of months, an employment letter without verifiable contact details, or a document that is legible on a phone screen and unreadable when printed. All four are caught by looking at the file when it arrives rather than when you submit it.
